Phones are answered by the same front desk that checks guests in, so the easiest time to reach a live person is right at opening — 9:30 AM at Mill Creek, 10 AM in Everett, Kirkland, and Lynnwood — or a weekday afternoon. Friday through Sunday evenings are the busiest hours on the floor, and a call in that window may roll over until someone's hands are free.
The three-detail text
An unanswered ring usually means every therapist is mid-session, so text rather than redial. Three details get most bookings done in a single reply: the service you want, how many people are coming, and a time that works. The same format covers groups — the desk can block stations for a party of 5 to 10 on a shared scalp-care visit.
First massage anywhere, or just first time with us? Every session at all four studios is delivered by Washington-licensed massage therapists, and the desk will match pressure and format to you if you say what your body's been doing lately. Two different phone calls
Start with the one that isn’t to us. Soul doesn’t bill health plans — you pay at the studio and take home an itemized superbill to submit yourself — so the questions about what gets reimbursed belong to your plan or your HSA/FSA administrator. Ring the number on the back of your card and ask what they want to see: a letter, a diagnosis code, a receipt laid out a particular way. HSA and FSA cards are accepted at the front desk of all four studios either way.
The call to us is a smaller one, and it is never a condition of booking. Anyone can reserve a massage here with no referral and no doctor’s note. Phone the studio if you want the superbill written up a certain way, or waiting for you at checkout. Have these in front of you when you do:
- Whatever your plan asked for. If your administrator told you the receipt needs a diagnosis code, a specific service description, or a particular layout, say so — we can only put it on the superbill if we know about it.
- Any referral or prescription. Not for our sake — Soul never asks for one, and you can book without it. If a doctor, chiropractor, or physical therapist sent you for massage, it’s your plan that tends to want the paperwork on file.
- A Letter of Medical Necessity, if your plan wants one. HSA and FSA spending on massage usually depends on an LMN from a doctor. That’s the plan’s requirement rather than ours, so nobody at the desk will ask to see it. Worth knowing before you ask your doctor: relaxation services such as head spa and facials generally aren’t eligible expenses at all.
- Your claim number, after a car accident. PIP work runs on auto coverage rather than health coverage, so bring the insurer, the claim number, and your adjuster's contact if one has been assigned.
